Job Description:

Position Available: Front Desk Coordinator - Wednesday PM Shift from 4 pm - 12 am and On Call (Must be available to work other shifts as needed, including night shift from 12 AM - 8 AM.) We are a 24/7 community, therefore one must be able to work holidays as required.The Front Desk Coordinator under the direction of the Resident Services Manager acts as the first point of contact between visitors and Baywood Court and is responsible for exhibiting a positive, hospitable and welcoming environment. The Front Desk Coordinator provides exceptional, responsive service to every resident and visitor they encounter and is the interface who executes a variety of concierge and administrative functions enhancing the resident and visitor experience in the Baywood community. The Front Desk Coordinator ensures residents-' needs are met and will be required to respond to emergency situations.All applicants are required to complete and pass a drug screening, with tuberculosis (TB) skin test, and criminal clearance through FBI and Department of Justice. The background search includes minor misdemeanors and DUIs.ESSENTIAL DUTIES:

  • Acts as point of reference for residents and visitors who need assistance or information and directs them to the appropriate individuals
  • Welcomes visitors upon entrance and addresses their requests. Greets everyone (residents, visitors and staff) with a smile. Announces them to residents or staff as necessary
  • Ensures all visitors check-in at the front desk. Answers questions, handles inquiries and refers to proper departments
  • Receives incoming calls and transfers to appropriate departments. Checks voicemail daily and forwards to appropriate staff
  • Ability to respond when a resident emergency situation arises either via the resident-'s personal emergency pendant, pull cord or phone call from resident. May serve as first point of contact to urgent resident situations. Notifies 911 emergency personnel as needed. Must be able to enter resident apartment, assess situation, and calmly relay information to 911 operators. May assist emergency personnel in gaining entrance and locating resident's apartment when managers are not on duty
  • Monitors security cameras and notifies management or Alameda County Sheriff-'s Office immediately of any safety/security issues, suspicious persons or illegal activities on site
  • Upholds company culture at all times while making residents, staff and visitors feel welcomed and valuedQUALIFICATIONS:
    • Possess a warm, caring, gracious manner and an outgoing personality
    • Ability to function in a high volume, fast-paced, multi-tasking environment
    • Possess professionalism and excellent interpersonal skills
    • Ability to respond quickly, calmly, and with good judgment, even in an emergency or crisis situations
    • Experience working with older adults preferred
    • Minimum high school diploma; Associates degree preferred
    • Ability to read, write and speak the English language, using proper speech and grammar
    • Knowledge of Microsoft Office programs and multi-line telephone
    • 1-2 years customer service experience preferredPHYSICAL DEMANDS/ WORKING CONDITIONS:
      • Must be able to sit for up to 75% of the workday; must be able to stand and walk throughout the workday
      • Must be able to lift and carry up to 10 lbs frequently and push/pull up to 30lbs. unassisted
      • Occasional stooping, bending and reaching overhead objects
      • Must have good manual dexterity for typing and operation of office machinery including computer and large copier
      • Frequent repetitive motion of hands and wrists
      • Requires continuous mental and visual attention to diversified operations
      • May be exposed to communicable diseases, and blood and body fluids that may contain HIV and/or HBV
      • May be exposed to cleaning chemicals and offensive odors
